4Competitor Information for the Stotesbury Cup Regatta

On-site Check-In/Coaches’ and Coxswains’ Meeting
- Check-In for Bow Numbers/Registration is on Thursday, May 16, from 3:30 p.m. – 6:00 p.m.in the Grandstand Parking Lot/ Stotesbury Village at approximately the 250 meters-to-go mark on the course OR Friday, May 17, from 6:30 am – 9:00 am in the Athletes Village (Three (Playing) Angels Launch Area).
- A mandatory Coaches and Coxswains Meeting will place VIRTUALLY on Tuesday, May 14th at 7:00 p.m. You must register for it HERE. Watch the recording via the links on social media (@stotesregatta) and Regatta Central.
- Entry information, including Bow and Back Numbers, for each team will be provided in a packet at the time of check-in. The coach or team representative should check and verify the entries and boats for his/her school. All substitutions and scratches must be reported at Check-In. All bow numbers must be returned.
- All trophies must be returned must be returned by the prior year’s winners on Thursday, May 16th.
- An Entry Pass is NOT required on Thursday.
- Chuckwagons may begin to arrive at 3:30 pm (except those who have received Early Arrival Privileges (for 2:00 pm) by signing and returning a Schuylkill Navy Green Sustainability Pledge HERE. PLEASE NOTE: NO vehicles (except Team Chuckwagons with an affixed Permit) may remain overnight on Kelly Drive. Vehicles (even those with Entry Passes) left on Kelly Drive overnight on Thursday will be towed.
Weigh-ins
Weigh-ins will be conducted Thursday May 16, 3:00 to 6:00 p.m. and Friday, May 17 from 7:00 to 10:30 am within the Athletes Village (near the Playing (Three) Angels sculpture and Row America Regatta Dock).
All registration is done on-line at Regatta Central. But please review the notes below first for special Stotesbury requirements.
The following are required to make your registration complete:
- If you complete your waivers on-line and you pay by credit card on RegattaCentral when you complete your entries, you are done. No further action is needed.
- If you cannot pay by credit card, please contact us Schuylkill Navy to set up check payment. Mail the Team Invoice and a check in time for delivery no later than Monday, May 13, to the address on the invoice.
Fees are non-refundable after registration, and no refunds will be given for scratches. Please make checks payable to “Schuylkill Navy of Philadelphia”.
Team Rosters
We do not require a team roster.
Lightweight Health Certificate
Stotesbury implemented new Lightweight Protocols in 2022, similar to those found at many Scholastic Rowing Leagues.
Any documentation that you currently submit to your respective leagues (such as the PSRA, VASRA, etc.) can be submitted as documentation for Stotesbury. For any teams who do not currently provide certification documents, Stotesbury also has a form available here.. Please submit completed forms to schuylkillnavyofphiladelphia@gmail.com with the subject title: “Lightweight Health Certificate”.
All athletes will need to be certified as fit to compete within the weight requirements by April 19th.
Waivers
USRowing waivers must be completed on-line at Regatta Central. Once completed, the on-line waiver applies to ALL USRowing registered regattas in 2024. To start the waiver process, log in to Regatta Central and click the ‘SIGN WAIVER’ link located in the ‘My Roster’ box. No competitor will be allowed to race without a signed waiver on file. Coaches, note: Waivers must be executed by parents. Start early!
Entry Deadline
Entries (and payment) are due at 11:59 pm on Tuesday, May 7. After that date, late entries will be accepted at the discretion of the Regatta Committee on a “lane available” basis through 11:59 pm on Friday, May 10. Line-ups are due at the time of registration.
USRowing organizational membership
USRowing requires all participating organizations at registered regattas to be USRowing members. As in past years, the Stotesbury Cup Regatta is a registered regatta. Becoming a registered regatta gives the regatta access to USRowing’s insurance, the most affordable insurance available. The organization (high school) has to be an organizational member of USRowing; individuals do not have to be members. Exception: Schools with singles and/or doubles only are exempt from the USRowing organizational membership requirement. However, all individuals in exempt schools must be individual members of USRowing. USRowing membership applications are posted on the USRowing web site.
Scratch Fees
Given that Stotesbury categories are capped for several events, we are not able to offer a refund on Entry Fees for scratched boats.
